Tulsa Running Club – Board Meeting – October 17, 2019

·         Meeting called to order at 5:38pm

·         Reviewed September meeting minutes – Allyson motioned to approve, John second.

·         Financial Update

o    Reviewed current balance sheet – does not reflect $500 donation or Tulsa Run pacer shirt printing.

o    John went to the D.A.s office to see who is handling financial and white collar crimes. They sent him to TPD to file a report. Should have a tracis number in the next day or so. John will keep us apprised.

o    5 new members joined.

o    Letters to vendors, sponsors and Post Oak to let them know that the race is no longer affiliated with TRC. No responses have been received.

o    Sam shared that Johnny sent him a text message about “mishandled” money in August. He also sent him an August bank statement. Johnny received money that belonged to TRC and Johnny deposited it into his Post Oak LLC account.

·         Social Committee Update:

o    October track social will be 10/22, due to soccer game conflict.

o    Need to be promoting the discount for Cowtown to help attract members.

o    Allyson drafted letter to send to RD to see if they provide discounts for running clubs. Leslie to review and send back for board use and distribution. - LESLIE

o    David’s brother has worked on the website. We discussed using members emails to promote events as not everyone is on social media, need to look into an unsubscribe feature. LESLIE and JENN need to review.

·         Race Committee Update:

o    Von Franken will be here soon, need to make sure we have items needed by next board meeting and continue to work on getting donations for giveaways. – ALL

o    Letter for Von Franken sponsorships – LESLIE

o    Recruit volunteers for Von Franken – ALL

§  Pancakes, etc. help: 12-14

§  Raffle: 4-6

§  TRC table: 4

§  Emcee: 1-2

o    Chris let us know that the Polar Bear Plunge is being offered to us. Kirk confirmed that RRCA would not cover this event. Recommends that we do not take on this race and associated liability exposure.

·         Decided not to request booth at Tulsa Run Expo.

·         Allyson looking into payment processors that cater to Non-profits, will have the information by the next board meeting. Best option found is Blue Pay. They take 2.85%. Have a minimum requirement of $25 per month processing. Can integrate into website function too. BOARD VOTE IN NOVEMBER

·         Jenn to send banking information out again as we need to log in at least once every 90day or it expires and everyone has let theirs expire. JENN

·         Everyone needs to find someone that is interested in being on the board and have them come to the next meeting. FOR REAL THIS TIME - ALL

·         Next board meeting will be Thursday, November 21.
