Tulsa Running Club – Board Meeting – November 21, 2019

·         Meeting called to order at 5:34pm

·         Reviewed September meeting minutes – Allyson motioned to approve, John second.

·         Financial Update

o    Reviewed current balance sheet – does not reflect $500 donation or Tulsa Run pacer shirt printing.

o    Sam heard back from IRS. You have to have two reasons to have penalty abetted. Sam will send a new letter outlining our reasons and copy the board.

o    John went to the D.A.s office to see who is handling financial and white collar crimes. They sent him to TPD to file a report. Detective is looking at the case and gathering data. John in conversations with detective and Sam to provide what is needed.

o    5 new members joined in October.

·         Social Committee Update:

o    Next social is December 5 – NEED BOARD SUPPORT AND ATTENDANCE

o    Will not host a running social in January – shift to a member meeting and have it on January 9, 2020.

o    Need to be promoting the discount for Cowtown to help attract members. JENN post on member page and LESLIE will promote on social.

o    Donation request letters for Von Franken. - ALL

o    David’s brother has worked on the website. We discussed using members emails to promote events as not everyone is on social media, need to look into an unsubscribe feature. LESLIE and JENN need to review.

·         Race Committee Update:

o    Von Franken is next week! Need to make sure we have items needed by next board meeting and continue to work on getting donations for giveaways. – ALL

o    Letter for Von Franken sponsorships sent to board.

o    Runners World is donating tents, tables and jugs.

o    Renting 2 coffee makers

o    Purchasing about $50 worth of supplies – ALLYSON will purchase from Sam’s

o    Chris got donation of pancake mix, syrup and coffee

o    6 griddles between Bobby and Chris

o    Chris has power cords

o    Do press release – LESLIE

o    Social post day of thanking everyone that donated - LESLIE

o    Recruit volunteers for Von Franken. Need board members there by 7am to begin set up. Request volunteers to be there at 7:30 - ALL

§  Pancakes, etc. help: 12-14

§  Raffle: 4-6

§  TRC table: 4

§  Emcee: 1-2

·         Allyson moving forward with payment processors that cater to Non-profits, will have the information by the next board meeting. Best option found is Blue Pay. They take 2.85%. Have a minimum requirement of $25 per month processing. Can integrate into website function too.

·         Jenn to send banking information out again as we need to log in at least once every 90day or it expires and everyone has let theirs expire. JENN

·         Engage people that are interested in joining the board. Have them complete the application.

·         John and Jenn attended US Track & Field induction ceremony – met one of our lifetime member and learned that someone has all the old newsletters and former “road runner” logo.

·         Need to discuss how we want to acknowledge and celebrate 50th Anniversary in 2020.

o    Consider running hat with 50th Anniversary logo

·         Next board meeting will be Wednesday, December 11, 2019.
